Cancellation Policy
No show/late cancellation policy: Since our staff reserve time for you and only receive reimbursement when patients show for their counseling appointments, you must cancel/reschedule appointments 48 hours in advance, or your card on file will be charged the rate of $100. Rescheduling a testing appointment at any time results in you losing your $100 deposit due to the loss of expenses we incur on testing materials purchased for your appointment, hours of lost income we then incur, and the unfairness to those individuals eager and committed to get scheduled when there is a major lack of testing providers in this area and nationally.
When a session is cancelled without adequate notice, we are unable to fill this time slot by offering it to another current client or a client on the wait list. In addition, we are unable to bill your insurance company for sessions that are not kept which when it happens enough times affects PsychologyWorks, PLLC’s ability to continue to provide quality care to all patients.
The only time we will waive this fee is in the event of serious or contagious illness or other extreme circumstances which can be discussed. In the event of inclement weather or required health quarantine where you are not ill yourself, you will be asked to meet via telehealth versus canceling your appointment. Most insurers cover telehealth counseling and you are expected to call your insurer to confirm this. Please call us (833-779-9675) with any questions on this policy.
Further, if patients exhibit either of the following patterns, our practice can ethically end your treatment:
- If you are a weekly client and you miss three scheduled appointments within a three-month time period, the therapeutic relationship may be terminated and appropriate referrals to other outside services will be offered.
- If you are a bi-weekly client and you miss two scheduled appointments in a two-month period, the therapeutic relationship may be terminated and appropriate referrals to other practices will be offered.
Please understand that therapy/testing should be viewed as any other important medical appointment would be viewed. It is a huge commitment and our staff expect patients to show up as planned for with a genuine desire to do the hard work successful treatment requires. Such a policy is not meant to be a punishment. This cancellation policy is important for our practice because while a medical doctor can see 35 patients in a day, a psychologist or counselor generally can only feasibly see a maximum of 6 to 8 clients a day, or one testing case, to provide the best individualized care.
